Hood cleaning reports: what an inaccessible duct section means

If a hood-cleaning report identifies an inaccessible duct section, treat it as an unresolved part of the system. Ask where it is, what wasn't inspected or cleaned and who can assess a safe access solution. A clean canopy or service sticker doesn't establish the condition of every concealed section.

Ask for a location another contractor can find

Request a marked diagram, photographs and a description tied to the building layout. “Duct inaccessible” is less useful than a location, reason and statement of the work that could not be completed.

The International Kitchen Exhaust Cleaning Association explains why access panels may be needed to reach and clean a system. The appropriate detail must be assessed by qualified professionals for the actual duct and building.

Separate findings from proposed corrections

Report entryClarification to request
Not accessedWhy access wasn't possible
Not inspectedWhat condition remains unknown
Not cleanedWhich work remains incomplete
Recommended correctionWho must assess, approve and perform it
Follow-upHow the unresolved section will be revisited

Don't cut an opening, remove a fire-rated enclosure or modify a duct as a restaurant maintenance shortcut. Access changes can involve more than a cleaning company and may need building-owner and authority review.

Assign the next action

Ask the cleaning provider which specialist should evaluate the issue. If the restaurant leases the space, share the documented finding with the person responsible for the building and confirm who authorizes corrective work.

Keep a dated action log: finding, responsible contact, planned assessment and completion evidence. A recurring note on successive reports shouldn't become an accepted background condition simply because everyone has seen it before.

Confirm what the return visit covers

Once access is addressed, ask whether a further inspection, cleaning or both are needed. Request an updated report that identifies the previously inaccessible area and the work performed.

The cleaning company should state its actual scope and limits. Local fire-safety requirements and operational decisions belong with the qualified professionals and relevant authority, not a generic online checklist.

Read the hood-access guide and scope-of-work guide. To request provider help, include the report and access description through the agreed sharing method. Indy Hood Clean is an independent referral resource; the selected provider confirms the work and findings.
